PeaceHealth is seeking a Health Information Management Operations Lead for a Full Time, 1.00 FTE, Day position. The salary range for this job opening at PeaceHealth is $20.65 – $30.97. The hiring rate is dependent upon several factors, including but not limited to education, training, work experience, terms of any applicable collective bargaining agreement, seniority, etc.

This remote role requires the incumbent to reside in OR, WA, AK or TX by date of hire.

Job Summary

Coordinates the day-to-day functions for assigned area. Assists with ensuring that departmental goals are achieved, timelines are met, and service excellence is provided in all aspects of work. Subject matter expert. Coordinates projects, process development and redesign, developing and delivering training, communication, problem resolution, customer advocacy, translating customer service needs, and participating in software testing. May also analyze health records for completeness, communicate record deficiencies to providers, document imaging – prep, scan and quality control – in hybrid health record systems (electronic and hardcopy), and provides general clerical support to the department; processing birth certificates; storage, retrieval and delivery of health records. Validates SER (Schedulable EPIC Resource) provider records insuring the correct set up for distribution of patient records.

Essential Functions

  • Assigns work; plans and manages priorities, provides technical assistance, oversees staff schedules, monitors quality and productivity of work, monitors team projects, mentors staff, provides constructive feedback, oversees HIM Operations caregiver training, ensures quality improvement, provides leadership feedback on staff performance, and assists with goal setting for the team.

  • Recommends project timelines to HIM Department managers in conjunction with resources required from departments outside of HIM.

  • May serve as operational support for electronic health record implementations, including the roles of testing, training, and super user.

  • Work with key stakeholders as needed to recommend software & procedural solutions related to projects. Participates in process improvement teams and other lean process improvement initiatives.

  • Provides communication to customers and internal caregivers regarding system/process changes, training, updates, and other pertinent related information.

  • Analyzes health record for completeness by providers and accuracy of information.

  • Communicates medical record deficiencies to providers. Utilizes escalation of consequences to non-compliant providers, up to referring to Medical Staff for suspension of admitting/clinical privileges.

  • Acts as a resource to providers on the use of the electronic medical record. Maintain archival records onsite including pulling and refiling records as needed. Makes phone calls to validate provider demographics for SER file entries. Sends validated entries to the Security Team for update. Assists visitors needing records help.

  • Gathers, compiles and enters required information in Oregon, Washington and Alaska states Vital records system to record births. Completes other vital records workflows including submission of Social Security requests, provides proof of birth, and submissions of paternity affidavits/invoices.

  • Participates in unknown and non-DRS calls to assist in correct indexing of documents into CareConnect. Serves as operational support for electronic health record implementation of point of care scanning,

  • Performs other duties as assigned.

Qualifications

Education

  • High School Diploma or equivalent.

  • College Coursework with an emphasis in Medical Terminology, Health Information Management, Project Management, Office Administration, Microsoft Office (Excel, Word, PowerPoint, Outlook) preferred.

Experience

  • Minimum of 1 year Health record processing experience preferred.

  • Basic knowledge of general office procedures and equipment preferred.

  • Basic knowledge of anatomy and/or human physiology preferred.

Skills

  • Ability to use a complex EMR system.

  • Ability to work independently with minimal supervision.

  • Ability to round and pick up documents from hospital units and clinics.

  • Proficient computer and keyboard including MS Office applications.

  • Proficiency in numeric filing, speed and accuracy necessary.

  • Good judgment and decision-making skills.

  • Strong organizational skills.

  • Multi-task/detail oriented.

  • Ability to handle interruptions due to phone calls, emails and questions.

  • Use of Skype technology to communicate with peers in different locations.

  • Good verbal and written communication skills.

  • Able to maintain a high degree of confidentiality.

Working Conditions

  • Consistently operates computer and other office equipment.

  • Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

  • Sedentary work.

  • Predominantly operates in an office environment.

  • Ability to communicate and exchange accurate information.

  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
